The primary function of the Inside Account Assistant (IAA) position is to assist with larger accounts that have multiple projects with medium to large impact on the business. The Account Management Team s primary focus is on Customer Satisfaction, Sales, On-Time-Delivery (OTD), and Project Completion. The team will manage all aspects of the customer with this position (IAA) primarily handling order entry and delivery (OTD) issues. The Inside Account Assistant may manage all aspects of smaller ancillary accounts as directed. The right person will have good communication skills and to be able to interact with both internal and external customers. Experience in focusing on key performance factors such as sales, profit and other company financial metrics would be beneficial. This position includes heavy PC and Database interaction through an ERP system. Experience using enterprise related software such as JDE, SAP, Salesforce, or AS400 is preferred.

Job Duties

-Contract review

-Order entry

-Price and delivery confirmation

-Order Management on-time delivery

-Customer communication - open order reporting

-Ensure contract review is executed in accordance with AS standards and local procedures

-Responsible for all aspects of customer purchase order review and order entry in accordance with the published customer service guidelines

-Manage open orders to facilitate on-time delivery

-Reviews and maintains associated AS9100 procedures/work Instructions, local work instructions and desk top reference

-Maintain proficiency in the manipulation of JD Edwards, Microsoft Excel and internal systems as it pertains to your areas of responsibility

-Understand and maintain the professional image of Trelleborg

-Strives to improve customer satisfaction

-Contribute to the shared responsibility of answering phones, filing, and general administrative duties

-The TSS AHA IAA will support commercial business with quotation facilitation on customers as assigned by the Operations Manager

-Using internet resources, locate all government procurement activities involving Trelleborg products and services

-Utilizing the established processes and procedures, to determine proper sale price and delivery time

-Process commercial customer s RFQs

-Process Sales Engineers RFQs/RFPs/RFI s

-Conduct effective quote follow-up, tracking and reporting to maximize capture ratio

-Work closely with the Sales Engineers for the coordination of customer requirements

-Provide lost business analysis and recommendations to recapture the business

-Maintain proficiency in all of the aspects of the functionality of the Gold Customer Web Site

-Process non-customers through our Distributors (Transfer Program) at the direction of the General Manager or Operations Manager

-Provide superior customer service via written and oral communications

-Analyze prints/drawings and other documentation to prepare quotations for commercial customers

-Analyze and compile data on every factor that may affect market price to establish aftermarket profitability

-Manage profitability of existing products and new projects and products

-Other duties as required

Background Profile

-Two year degree in Marketing, Communication or Business Administration (or equivalent experience) and two years of related job experience

-Strong Internet navigation experience

-Professionalism and teamwork is key to this position

-Excellent written and oral communication skills

-Computer literate (Windows, MS Office, Outlook)

-Database or ERP Experience preferred (JDE, SAP etc.)

-Good organizational skills and ability to manage multiple issues with attention to detail

-Possess business acumen and ability to address complex problems in professional manner

-Possess time management skills and able to prioritize workload
