The Admn Asst - operations provides and/or performs a variety of administrative services to support the Coating Center.  Also may be called upon to perform the duties of the following positions; shipping clerk, buy 1 and receptionist.
  • Receives customer telephone calls, answering questions and resolving concerns. 
  • Coordinates the entering and maintaining of customer orders in the Opportunity Track Database
  • Receives purchase orders over the telephone, fax, US mail or e-mail
  • Receives customer and lead inquiry calls
  • Responds to and takes appropriate action with email correspondence both internal and external to SCS
  • Maintains database for customers files, order files and quotation files
  • Coordinates customer receipts and shipments with Shipping and receiving, Quality and Production Departments to ensure customer needs are met.
  • Monitors status of customer orders that are in-house from time of arrival to departure.  Reports order performance such as receiving data, on time delivery, customer returns and complaints
  • Helps expedite orders
  • Involves management when quality issues arise
  • Creates R/A requests for returns and exchanges
  • Coordinates E-runs and quotations with Engineering and Sales
  • Processes requests for new quotes or update of old quotes in the Opportunity Track Database
  • Prepares air bills and arranges for shipment of overnight packages.
  • Tracks temporary workers' labor and reports such to Staffing Agency
  • Assists with timekeeping, tracking employee time-off requests, and attendance tracking.  Maintains data on the same
  • Ensures high quality and accuracy of all documents leaving the facility
  • Composes and types routine correspondence
