Essential Duties and Responsibilities
Answer phones, routing calls and messages to proper parties.
Provide clerical support to Accounting (i.E. Mailing invoices, preparing checks to mail, bank account reconciliation, minor accounting support, fixed asset records).
Process accounts payable and accounts receivable invoices.
Provide clerical support for managers and other office functions when needed (i.E. Typing letters, mailing documents, copies, faxing, folding, laminating, etc.).
Help coordinate event planning for both company wide and customer visit events. Work with those involved for any work required for cleanup and reorganization of supplies used. Facilitate any and all facility and catering needs for internal and visitor meetings.
Keep office supplies stocked and organized. Including both the supply cabinet and copy/work area.
Process all mail (incoming and outgoing).
Maintain vendor and customer master document files. Organize and manage all company non-disclosure agreements; including customers, suppliers, affiliates, and associates.
Assist with the organization of all company benefit plan documents ensuring that the corresponding plan documents are accurately and consistently communicated.
Assist management in drafting various company policies and procedures as it relates to benefit plans, government compliance, and administration.
Prepare monthly management expense reports.
Assistant management in managing schedules and deadlines (including travel arrangements).
Assist management in managing the Company's marketing material and company website.
Manage various projects in which the management assigns from time to time.
Prepare New Hire Orientation packets and assist in onboarding new employees (orientation, training, etc.).
Able and willing to cross-train and cover in all areas of the start-up business.
Minimum 3 years experience in various administrative functions.
Proficient in the use of Microsoft Office software tools.
